Information we collect

We may collect the following information:

• Information you give us when you complete an enquiry or booking form, call, email or message us, including your name, email address, phone number, vehicle details (such as registration, make and model), and details of the work you're enquiring about.

• Information about your vehicle and the work carried out where you become a customer, including service and repair records and invoices.

• Information collected automatically when you browse our website, such as your IP address, device and browser type, and how you use the site. This is collected through cookies and similar technologies (see "Cookies and tracking" below).

We do not intentionally collect special category (sensitive) personal data and we do not ask you to provide it.

How we use your information, and our lawful basis

Under UK GDPR we must have a lawful basis for using your information. We use it as follows:

• To respond to your enquiry, provide a quote or take other steps you have asked us to take before booking work. Lawful basis: taking steps at your request before entering into a contract and, where appropriate, our legitimate interests in responding to general enquiries.

• To arrange and carry out servicing, repairs or other work, and to keep records of it. Lawful basis: performance of a contract with you.

• To take payment for work. Lawful basis: performance of a contract and, where applicable, our legal obligations.

• To meet our legal and tax obligations, such as keeping invoices and accounting records. Lawful basis: legal obligation.

• To understand how our website is used and improve it, and, where you consent, to measure and target advertising. Lawful basis: your consent, given through our cookie banner.

We will not use your information for unrelated purposes without telling you and, where required, identifying an appropriate lawful basis.

Information you need to provide

Where we need certain information in order to provide a quote, make a booking, carry out work or comply with our legal obligations, we may not be able to provide the relevant service if you do not provide that information.

Our website uses cookies and similar technologies. Essential cookies make the site work and are always on. Non-essential cookies, including analytics and advertising tools, are only used where you have given consent through our cookie banner. Sharing your information

We do not sell your information. We share it only where necessary with trusted third parties who help us run our business, or where we are required to do so by law. Depending on the services we use, these may include:

• Framer, which hosts our website and may process information submitted through website forms.

• Google Workspace and Gmail, where enquiry and customer information is stored and managed.

• Stripe, where we send you a secure payment link to pay for work. We do not store your full card details ourselves.

• Analytics and advertising providers, such as Google and Meta, where you have consented to non-essential cookies and those services are in use on our website.

• Our accountant and, where legally required, HMRC, regulators, law enforcement or other authorities.

Some of our service providers may process personal information outside the UK. Where this happens, we ensure appropriate safeguards are in place in accordance with UK data protection law, such as UK adequacy regulations or approved contractual safeguards. You can contact us if you would like more information about the safeguards that apply.

How we protect your information

We store information securely within Google Workspace and Gmail and our other providers' systems, which have security measures in place to guard against loss, misuse and unauthorised access. We limit access to your information to those who need it to do their job.

How long we keep your information

We keep enquiry information for up to two years where it does not lead to work being carried out, so that we can deal with reasonable follow-up and maintain appropriate business records. Where you become a customer, we keep service, repair, transaction and accounting records for as long as necessary for our business, legal and tax obligations, generally for at least six years where required. We then securely delete or anonymise information we no longer need.

Automated decision-making

We do not use your personal information to make solely automated decisions that have legal or similarly significant effects on you.

Your rights

Under UK data protection law, depending on the circumstances and the lawful basis we rely on, you may have rights including: to be informed about how your data is used; to access the data we hold about you; to have inaccurate data corrected; to have your data erased in certain circumstances; to restrict our use of it; to object to certain uses of it; and to request portability of data you have provided.

Where we rely on legitimate interests, you have the right to object to processing based on those interests. Where we rely on consent, you can withdraw that consent at any time. To exercise any of your rights, contact us using the details above. We will respond within the time required by data protection law, normally within one month.
